Capital Area Land Management LLC ("CALM," "we," "us") operates www.calmco.works and provides land clearing and forestry mulching services in mid-Michigan. This policy explains what information we collect, why we collect it, and what we do with it.

1. Information You Give Us
Most of the information we hold is information you hand us on purpose. When you fill out a quote request or contact form, call us, text us, or email us, we may collect:
- Your name
- Email address
- Phone number
- The address or location of the property involved
- Details about the work you're asking about
- Anything else you choose to include in your message
We ask for this because we can't quote a job without it. Property location in particular is necessary — all of our quotes are done in person, on site.
2. Information Collected Automatically
Our website runs on Odoo. Like most websites, it uses essential cookies to keep your session working and to remember what you've entered on a form. Our web server also records standard technical information such as IP address, browser type, pages visited, and the date and time of the visit.
We do not run Google Analytics, advertising pixels, or third-party behavioral tracking on this site.
You can block or delete cookies through your browser settings. Blocking essential cookies may keep our forms from working correctly.
3. Property Photographs and Aerial Imagery
We photograph job sites — including from the air, using a drone — before, during, and after work. We do this for two reasons: to document site conditions as part of the job record, and, with permission, to show examples of our work.
Documentation photos are part of our project files and are covered by the same terms as the rest of your contract.
Marketing use is separate. Where your signed Proposal indicates that photograph approval is required, we will not use images of your property in marketing without your approval. If you'd like your property left out of our marketing entirely, tell us and we'll note it in your file.
4. How We Use Your Information
We use the information we collect to:
- Respond to quote and consultation requests
- Schedule and confirm site visits and work dates
- Communicate with you about your project
- Prepare proposals, contracts, change orders, and invoices
- Collect payment and maintain business and tax records
- Document site conditions and completed work
5. How We Communicate With You
We contact customers about their own projects by email, phone, or text — scheduling, confirmations, quotes, invoices, and follow-up questions. Our contracts specify email as the address of record for formal notices, so we ask that you give us an email address you actually check.
We do not currently run a marketing email list or send promotional texts. If that changes, we'll update this policy and give you a way to opt out. Standard message and data rates apply to any texts you exchange with us.
6. Who We Share Information With
We do not sell your personal information, and we do not share it with advertisers or data brokers.
We share information only with:
- Service providers who help us run the business — our website and CRM platform (Odoo), email and phone providers, and, if applicable, our accountant, insurer, or payment processor. These providers get only what they need to do their job.
- Legal recipients, when we're required to by law, court order, or valid legal process, or where necessary to establish or defend a legal claim.
Our website does not process payments. Deposits and invoices are handled separately, outside the site.
7. How Long We Keep It
We keep quote requests and inquiries for a reasonable period so we can follow up. We keep customer records — contracts, proposals, invoices, correspondence, and job photographs — for as long as needed to meet our legal, tax, insurance, and recordkeeping obligations.
8. Security
We take reasonable steps to protect the information we hold, including using established platforms and limiting access to the three owner-operators who run the business. No system is perfectly secure, and we can't guarantee that information sent to us over the internet is completely protected.
9. Your Choices
You can ask us to:
- Tell you what information we have about you
- Correct information that's wrong
- Delete information we're not legally or contractually required to keep
- Stop using photographs of your property in our marketing
Email info@calmco.works, and we'll take care of it. We may need to verify who you are before acting on a request.
10. Children
Our website and services are directed to adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we'll delete it.
11. Links to Other Sites
Our site may link to other websites — equipment manufacturers, industry resources, social media pages. We're not responsible for their privacy practices. Read their policies before giving them your information.
12. Changes to This Policy
We may update this policy as the business changes. When we do, we'll change the "Updated" date at the top of this page. Material changes will be posted here.
